Who will have access to the employee's personal confidential information?

The same WSU staff as currently involved in HR processing and administration. Background: EPAF is a data gathering & processing sub-system within the Banner environment. Subsequently, the existing security and access controls apply the same in EPAF as in Banner.


When Internal Audit performs an audit of a school/college/division, will they have access to information input into EPAF and original documentation?

Information input into EPAF is only temporarily held there as the HR transaction moves from origination to 'application' of the data into the Banner database. Once the transaction is applied, the data will be in Banner itself, but the completed EPAF sequence (the who's and when's of processing) will be available for reference. Legal requirements pertaining to documentation retention are not affected by the EPAF processing tool - so yes, original documentation will be available.

Will EPAF document who the originator, approver, and applier is?

Yes

Will the number of times a transaction was returned to the originator by the approver be shown on the EPAF document?

Yes

Will the reason why the document was returned be noted?

Best practice is that yes, any transaction returned should have the reason documented in the comments section. This tells the originator what needs to be fixed before resubmitting the EPAF to ensure it is complete and accurate.

Will the approver or applier have the ability to correct/modify data entered by the originator? If so, will there be evidence that the approver or applier changed information input by the originator?

No. There is only one 'role' in the EPAF environment that has the ability to 'touch' the submitted data, that of the "Super User." The current plans are to have a very restricted number of users with the Super User role, who will very likely be HR Division based. As to a record of any data changes, it is expected that as with the close-cousin Web Time Entry tool, a notation would be added by the system indicating a data change had occurred (e.g. "over-ridden").
