Commonly Used Banner Dates

Term Definition Explanation
Query Date This is the date used to search for assignment detail. The date entered in this field will determine what assignments are accessed for viewing.
Job Begin Date This is the date within the service period in which the employee begins the very first assignment on a specific position number AND suffix. This date is used for Payroll and Auditing purposes and is determined as follows:




FOAPAL Organization (ORG) Code

This code specifically references a financial accounting context, and identifies the budget unit of the S/C/D ordepartment that is processing a transaction.

Example: Dean of Libraries, Center for Urban Studies, College of Engineering, etc.


Home Organization / Home Department vs Department Code

In Banner, Home Organization is the Home Department of the employee. An employee can have only one primary Home Organization. The naming convention used will be the letter “H” followed by the first 4 characters of the current HRS department code (thus dropping the trailing zero).

Example: HRS code 49060 => Banner Home Organization / Home Department H4906

Note: Banner, E-Reports & HR Webforms see Home Organization & Home Department as being equal!


Time Sheet Organization

Time Sheet Organization identifies the department that the employee's current job time sheet will be sent to. The naming convention will be the letter H followed by the entire, current HRS department code.

Example: H49060


Check Distribution Code

This code will use the existing codes prefaced with an “HC”.

Example: HRS code 103 => HRMS code HC103


Social Security number vs. Banner ID (SPRIDEN ID)

The current HR system uses an employee's social security number as the unique identifier. In the new Banner system, the visible identification number used to access a person on-line will be a unique Banner ID, not the social security number. The Banner ID is the same number as found on the One Card.


FTE vs. APPT%

FTE in the HRS system was used to calculate pay. The equivalent field to this in Banner is Appointment Percentage (APPT%). Hourly and salaried part-time employees will always have an appointment percentage of 100%. Although there is a FTE field in Banner, the APPT% field is the one that is actually used in calculating salary. The FTE field in Banner will only be used for incidental reporting on FTE of employee. FTE will mimic the APPT% (as in 80% in APPT% would equal .8 FTE).

Exception: for part-time faculty, this is where the actual FTE of the assignment will appear.


LD%

An employee can have labor distributions from multiple funds on the same job / assignment. Labor distribution percentage (LD%) tells how much of the work effort is given to a specific FOAPAL. LD% always adds to 100% per job /assignment.


Job Groups (Job Codes) vs. Employee Classes (E-Classes)

In Banner, Employee Classes have the equivalent purpose of Job Groups in the HRS system. Employee Classes in Banner define your relationship with the University by identifying your benefits, leave accruals, etc. They will be represented by a 2 digit letter/number combination.


Class Codes vs. Position Classes

In Banner, Position Classes have the equivalent purpose of the Class Codes in the HRS system. Position class code resides only on the position and not on the job. These codes will be represented by a 5 digit letter/number combination. Positions should be changed (if necessary) prior to putting a person in the job.
