General Questions

Can I be an approver and an originator?

  • Yes. One user is allowed to have both EPAF Originator and EPAF Approver roles.
  • NOTE: It is discouraged that one person be both originator and approver on the same transaction unless absolutely necessary. E-Reports are being developed which will highlight EPAF transactions in which this occurs.

Is it possible for a user to approve an EPAF if an approver at a lower level still needs to approve it?

  • No. Banner sends transactions sequentially through the approval queue so the first approver must take action before the second approver can, and so on.

An approver discovers an error on an EPAF transaction. Should the EPAF be disapproved or returned for correction?

  • Returning the EPAF for correction is the preferred method. Disapproving the EPAF will require entry of a new EPAF.
  • Anyone taking action on an EPAF must use the Comments section to provide the originator with information about why the EPAF is being returned, what needs to be corrected, and what action to take.

Can an EPAF be corrected after it has been approved?

  • Not if the approver has already approved the EPAF. The next approver or a superuser should be contacted and asked to return the EPAF for correction. The originator can then take the appropriate action.
NOTE: If the EPAF transaction is one that automatically 'applies' to Banner:
  • If the transaction has been applied, there are two options to pursue:
  • Create an off-setting / correcting EPAF
  • Contact Human Resources Employment Services Center (ESC) for guidance

  • Contact Human Resources Employment Services Center (ESC) for guidance


If the last, or only, approver of an EPAF realizes that there was a mistake in the EPAF, what should be done?

  • If the EPAF has already been approved, the approver should contact Employment Services Center (ESC) to have them intervene in the system.


Do I need to set up a backup person or proxy for approving EPAFs?

  • Yes, you must setup at least one proxy in the event you are not available to approve EPAFs.

Can I designate two approvers in a routing queue so that someone can approve when I am on vacation?

  • This will result in both approvers being required to approve the transaction!
  • Approvers & FYIers should establish backups for themselves via proxĂ˝. <insert job aid here>


Is there an EPAF role for only viewing transactions?

  • Yes - the FYI role allows a person to have full access to the EPAF transaction while not requiring his or her action for the EPAF to process.

What is the difference between a transaction status and a queue status in an EPAF?

  • Transaction status defines the status of the EPAF -
  • Waiting - not yet submitted by the originator
  • Pending - awaiting action from the next person in the EPAF routing, e.g., approve or return for correction
  • Approved - waiting to be applied to the Banner database
  • Queue status defines the EPAF's routing status in relation to the user - pending (user action required), in the queue (user action will be required), approved (user previously approved the EPAF), etc.

Why are EPAF Comments important?

  • Best practice suggests that comments are very important to the success of an EPAF. Although not required by EPAF, we strongly encourage originators to include comments to clarify anything related to the transaction - supporting documentation, special explanations or directions, or any information that will assist reviewers (approvers) as the transaction moves along the routing queue. Ultimately, the use of the comments box will increase the efficiency and accuracy of processing EPAFs.

When executing a termination of employment, EPAF TERM-E, do I still have to send a paper copy of the "Last Day Worked" form to Payroll?

  • Yes - this notification to Payroll to stop paying this person will continue to be required.
